Job Posting: Repercussion Theatre seeks Operations Manager and Director of Communications & Development

Repercussion Theatre is currently looking to fill 2 key positions – an Operations Manager and a Director of Communications and Development – and is seeking dedicated, motivated, resourceful people who want to be a vital part of its team. The company is open to adapting these positions depending on the particular skillsets of applicants, and encourages anyone who feels passionate about working with the company to communicate with them.

Repercussion Theatre is an English theatre company, but all candidates must be bilingual.

1. Operations Manager

As one of the core staff, the Operations Manager oversees the daily operations of the company including (but not limited to) contracts, records and office logistics; you will work closely with the Artistic Director to contribute to big-picture budgeting, work with funders, and provide support/guidance to short-term contract staff. The Operations Manager will work closely with the Director of Communications and Development, and answer to the Artistic Director.

The ideal candidate will have solid financial know-how, experience in management and Human Resources, and be passionate about running a smooth-sailing ship.

This is a permanent, flexible position that expands and contracts with our summer season:

  • Full-time from April 1 – end of August
  • Part-time (approx. 3 days/week) the rest of the year

The proposed remuneration will be discussed with interested candidates. Our goal is to find the best working relationship for everyone involved, so details regarding working hours during the off-season will be negotiated as required, to allow for the successful candidate to balance other projects. 

Duties and responsibilities include but are not limited to:

General Operations/Financial Management

  • With the Artistic Director, create an operating budget for each year; Closely and regularly monitor the operating budget, to ensure the year’s financial control.
  • Work closely with the bookkeeper/payroll service to maintain the flow of financial information from operations to the accounts.
  • Create quarterly reports for the Board of Directors re the company’s financial situation, and attend 3-4 board meetings.
  • Act as second signing officer for all financial documents and transactions.
  • Keep track of all signed contracts & other documents for auditors.
  • Keep insurance updated (board, volunteer, tour)
  • Ensure Deductions at Source are done Monthly.
  • Ensure GST/QST reporting is done quarterly.
  • Keep track of and ensure organization of important files.
  • Schedule IT support as needed.
  • Schedule audit and provide necessary materials to auditor.
  • Monitor concession sales and provide supplies for on-site staff (concessions) during tour as required (tables, plastic bags, change, etc)
  • On-site donations: count, tally donations that arrive at the office in a locked safe; and/or go on site to pick up large sums when required (Westmount, plateau, etc TBD)

Accounting:

  • Monitor Receivables/Payables and Payroll.
  • Track royalty payments to designers & playwrights.
  • Reconcile the credit card and pay bank fees as needed.
  • Make deposits as needed (daily during tour).

Human Resources

  • With the Artistic Director, hire, train and supervise new employees (4+/- per year: Communications assistant, Development assistant, Volunteer coordinator, Concessions Manager)
  • Apply for Canada Summer Jobs positions; fill in necessary paperwork.
  • Communicate with Emploi Québec and handle necessary reporting.
  • Government reporting for employees (DAS, CNESST, ROE’s, T4’s)
  • Create contracts for administrative employees.
  • Manage and respect the basic conditions of work as outlined by the Normes du Travail, for all employees.
  • Stay current with Canadian Theatre Agreement standards.
  • Create contracts for tour personnel (including artists – CAEA, APASQ) though the Operations Manager is not responsible for the management of the production personnel.

Development: Grants & Governmental relationships

  • With the Artistic  Director and Director of Communications and Development, evaluate the company’s financial needs with respect to current and projected activities, and determine potential sources of funding.
  • With the Artistic Director, craft multi-year and project applications to governmental funding bodies – CALQ, CALQ Touring, CAM, CAM en Tournée.
  • With the Artistic Director, fill in the necessary reports– CALQ, CALQ Touring, CAM, CAM en Tournée.

Basic office Management

  • Pay bills, rent, etc.
  • Approve/carry out purchase of office supplies
  • Issue and keep track of keys.
  • Ensure adequate function of all office equipment.

2. Director of Communications and Development

As one of the core staff, the Director of Communications and Development oversees the company’s relationship with major stake-holders including (but not limited to) the public, donors, sponsors, and parks.

The ideal candidate will have experience in and a passion for Communications and Marketing, as well as in donor relations and fundraising. This is a position for a “people person” who is passionate about what Repercussion Theatre does and wants to share it with a wide range of people.

This is a permanent, flexible position that expands and contracts with our summer season:

  • Full-time from April 1 – August 16
  • Part-time (approx. 2-3 days/week) the rest of the year

The proposed remuneration will be discussed with interested candidates. Our goal is to find the best working relationship for everyone involved, sodetails regarding working hours during the off-season will be negotiated, to allow for the successful candidate to balance other projects as required.  Basic graphic design skills will be considered an asset for this position and could affect remuneration.

Detailed list of duties and responsibilities:

Communications/Marketing

  • Monitor, update Website as needed (WordPress).
  • Create communications strategy/plan for Shakespeare-in-the-Park tour.
  • Oversee employee(s) assigned to assist with marketing and development.
  • Oversee creation of poster, flyer and show program.
  • Coordinate poster/flyer distribution.
  • Oversee/implement social media plan.
  • Oversee/implement creation of biannual Newsletter.
  • Oversee design of merchandise (t-shirts, etc) and work with Concessions Manager to order all necessary concessions materials.

Shakespeare-in-the-Park Development

Build/Maintain relations with Parks:

  • Communicate with parks to book the show in the Fall/Winter;
  • Write up park contracts and ensure they are signed in the Spring.
  • Work with the Artistic Director to create the Show Calendar
  • Approach and follow up with in-kind sponsors
  • Approach and follow up with program ads
  • Monitor VIP invitations to summer show and ensure follow-through with onsite staff

Development: Foundations, donors, corporate sponsors, in-kind sponsors etc

  • Keep track of deadlines for applications to foundations and corporations, and (with the Artistic Director) determine the best approach.
  • Research possible sources of income (foundations, corporations).
  • Monitor and update DonorPerfect.
  • Ensure follow-up and proper acknowledgment of donors and sponsors.
  • Oversee the creation of a yearly thank you card (sent in the Fall).
  • Oversee mailing of a biannual donation request letter to individual donors (written by/with the Artistic Director).
  • Suggest strategies for increasing/improving donor relations and donations
