Job Posting: QDF Program Coordinator

The Quebec Drama Federation (QDF) is currently seeking a full-time (30 hours/week) Program Coordinator with a contract beginning on May 7, 2018.   The position pays $15/hr for a total of $450/week, payable in correspondence with net amounts after all standard employment deductions.

Reporting to the Managing Director, the Program Coordinator is responsible for the creation and management of all QDF outreach and events, including, but not limited to all workshops, the printed calendar, calendar launches and special events.

Description of key responsibilities:

Printed Calendar

  • Communicate deadlines with membership and staff
  • Collect calendar information and format as needed
  • Liaise with graphics Designer, Printer and distribution
  • Implement deadlines
  • Produce letter of agreements for required parties
  • Edit drafts leading up to print deadline
  • Ensure delivery of printed calendar
  • Manage calendar upload and inputting of information online

Calendar Launches

  • Book venues
  • Hire Stage Manager, Hosts and Photographer for each Launch
  • Liaise with the production side of venue and stage management leading up to and during each Launch
  • Coordinate with QDF accountant
  • Communicate and coordinate with Performing QDF company members
  • Provide Stage Manager with required materials

All special events

  • Coordinate and ensure any required permits
  • Create and adhere to budget
  • Coordinate and manage all required catering and material needs
  • Coordinate volunteers as needed
  • Ensure the smooth operation of Events
  • Ensure the safety of any performers, Staff, Patrons and Volunteers
  • Supervise and delegate Staff duties
  • Report and follow through on any malfunctions and safety concerns
  • Ensure temporary signage
  • Complete all administrative duties which may include: reports, spread sheets, invoice collecting, issuing of receipts, liaising with the accountant and board of directors etc.

Event Finance & Accounting

  • Create budgets and establish financial targets for events
  • Assist in the management of membership and program revenues
  • Assist in the management of deposits
  • Manage and report monthly expenditures

Administrative Duties

  • Aid in the implementation of new projects and initiatives
  • Communicate and liaise with membership
  • Carry out tasks and requirements as implemented by the board of directors
  • Prepare event reports for AGM and assist staff in their reports
  • Prepare staff presentation of AGM reports to members and board
  • Manage and assist staff as required
  • Manage staff schedules
  • Manage and keep track of annual events
  • Schedule and carry out monthly staff meetings
  • Schedule and execute all FRINGE duties in regard to member support
  • Carry out day to day tasks such as answering phones and responding to emails
  • Manage and implement protocol for any issues that may arise

Located in Montreal, Quebec, the Quebec Drama Federation (QDF) is a membership organization that exists to support English-language theatre companies, artists and their artistic expressions in Quebec. This support manifests itself through leadership, collaborations with partners and stakeholders in the community, promotion of the artists and companies, professional development and identification of the role of theatre in the community at large.

QDF represents and lobbies on behalf of companies and individuals involved in English-language theatre to government agencies, arts organizations, and community groups at all levels. QDF develops new audiences by promoting English-language theatre to the general public, the tourism sector, and the arts community itself. It further creates a network for its members and provides them with specialized resources to facilitate career and creative development in all aspects of theatre arts.

Members include individuals involved in theatre in Quebec as well as interested people from outside Quebec: Actors, Playwrights, Directors, Designers, Stage Managers, Technicians, Administrators, Educators & Students. Professional Theatre companies, Independent Theatre companies, Community Theatre companies & Training Institutions, Acting/Casting Agents and Service Organizations.
